Terms & Conditions

These terms set out how rhi-define. works with clients. Please read them carefully before booking a service or signing an agreement.

1. About us

rhi-define. provides social media management and business support services to small businesses. These terms apply to any work agreed between rhi-define. and you (the client).

2. Services

The exact services, deliverables, fees and start date will be set out in a written proposal, service agreement or package description agreed by both parties. This may include:

  • Social media audits and strategy
  • Content planning, creation and scheduling
  • Community management and engagement
  • Business support and admin assistance
  • Ad-hoc consultancy or project work

Any changes to the agreed scope must be confirmed in writing and may be subject to additional fees.

3. Client responsibilities

To do our best work, we need your cooperation. You agree to:

  • Provide timely access to relevant accounts, branding, materials and information
  • Respond to requests for feedback or approval promptly
  • Ensure you have the right to use any content, images or logos you supply
  • Give reasonable notice of upcoming promotions, launches or changes to your business

Delays caused by missing information or late approvals may affect delivery times and are not the responsibility of rhi-define.

4. Fees and payment

Fees are set out in your proposal or package details. Unless otherwise agreed:

  • Monthly packages are payable in advance by invoice or direct debit
  • Project fees may be split into a deposit and balance
  • Invoices are due within 7 days unless a different term is agreed
  • Late payments may incur interest and could lead to a pause in services

5. Intellectual property

Any content, graphics, captions, documents or materials created specifically for you as part of the agreed services will become your property once full payment has been received.

rhi-define. retains the right to use anonymised or aggregated examples of work for portfolio, marketing or case-study purposes, unless you tell us in writing that you do not want your brand featured.

You remain responsible for ensuring you have the necessary rights to any third-party content you ask us to use.

6. Confidentiality

We treat your business information with care and will not share confidential details with third parties without your consent, except where required by law or to deliver the agreed services (for example, through trusted tools or platform providers bound by confidentiality obligations).

7. Liability

rhi-define. works diligently to provide accurate, timely and effective support. However, we cannot guarantee specific business outcomes such as follower growth, sales or engagement rates.

Our liability is limited to the total fees paid by you for the services in the 12 months preceding the claim. We are not liable for indirect, consequential or loss-of-profit damages.

8. Termination

Either party may end the agreement with reasonable written notice. The required notice period will be stated in your proposal or service agreement (typically 30 days for monthly packages).

If you terminate before a project is complete, you remain liable for any work already carried out and costs already incurred.

9. Changes to these terms

We may update these terms from time to time. The latest version will always be available on this page. Continued use of our services after changes means you accept the updated terms.

10. Governing law

These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
